ACE MEDIA LIMITED is the controller of the personal information described in this notice. This means we decide why and how that information is used.

We use personal information only where we have a valid reason under UK data protection law. Our main purposes and lawful bases are:

• Operating, securing and improving the website — for our legitimate interests in providing a reliable website, preventing misuse and understanding performance. We use consent where required for non-essential cookies or similar technologies.

• Marketing our services — with consent where required, or for our legitimate interest in promoting relevant business-to-business services. You can opt out at any time.

• Publishing agreed work, testimonials and case studies — under contract, consent or legitimate interests, depending on the project and the people involved.

Service providers acting for us are expected to protect personal information and use it only for the agreed purpose. We do not sell personal information.

7. How long we keep information

• enquiries that do not become projects are usually kept for up to 24 months;

• client, supplier, contract and accounting records are generally kept for six years after the relevant financial year or end of the relationship;

• marketing records are kept until you opt out or they are no longer useful, with suppression details retained so we can respect an opt-out;

• website analytics and cookie data are kept according to the relevant cookie setting and provider retention period; and

• project files, footage, credits and portfolio material are kept in line with project agreements, consent, legitimate archival needs and our backup schedule.

We may keep information for longer where a dispute, legal duty or agreed archive requires it.

8. Security

We use reasonable organisational and technical measures designed to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. No online system is completely secure, so please avoid sending confidential or sensitive information through ordinary email unless suitable protection has been agreed.

• ask for a copy of your personal information;

• correct inaccurate or incomplete information;

• ask us to erase or restrict the use of information;
